1. Booking in Advance and Payments
To secure your booking with Mountain Ascents Pvt. Ltd., book at least 2-3 months prior, especially during peak seasons (spring and autumn), to make essential reservations for hotels, guide and porter arrangements, and permits. For high-altitude expeditions or treks to restricted areas, book 4-6 months in advance.
A 25% deposit of the total trip cost and an online or manual booking form are essential to secure your reservation. An additional 25% is due one month before departure, and the remaining 50% of the total charge can be and should be paid upon your arrival in Nepal or before the trek begins.

2. Cancellation and Termination
Understandably, circumstances can change at any time, and in such an occurrence, when you have to cancel your trip, please send us a written notice at least 30 days before departure. If you cancel your trip 30 days or more before the scheduled departure from your country, only 35% of the total price will be deducted with the remaining amount refunded.
If you cancel 25 days before departure, the company will charge a cancellation fee ranging from 45% to 50%, and 70% to 80% if canceled a week before. The remaining reimbursement will be provided after deducting Nepal Rastra Bank's processing charges. If you need to file a claim, provide supporting documentation.
We can retain the refundable amount to exchange for a similar trip if you prefer. You can also change trip dates, but once the trip has commenced, there will be no refund for unused services or portions; therefore, we strongly recommend our clients purchase comprehensive travel insurance.
In an occurrence when clients choose to prematurely end their trip due to personal emergencies or unforeseen circumstances, they will incur additional charges in account for the logistical complexities involved in adjusting arrangements, including the return of porters, guides, and management of other operational requirements from the base camps, high-altitude landmarks, and restricted areas.
3. Last Minute Booking
Late bookings are typically accepted up to 7 days before departure from your home country, but for effective permit management, they must be made at least 10-14 days in advance for restricted area treks such as Upper Mustang, Tsum Valley, and Manaslu.
Full payment is required immediately upon late booking confirmation, subject to logistical constraints; hence early planning and booking are always recommended.
4. Required Documentation
To visit Nepal, you must obtain a tourist visa, which is available upon arrival at Tribhuvan International Airport (TIA) and other various entry points in the country. Besides, here is some of the mandatory documentation for several purposes, such as for domestic flights, accommodation reservations, and permits:
- A valid passport with at least 6 months of validity from the country's entry date.
- A Nepal tourist visa can be obtained in advance from a Nepalese embassy/consulate or online.
- 2-3 pairs of recently clicked passport-sized photos.
- For expeditions above 8,000m mountain ranges, a certification of the successful summit of a peak exceeding 6,000m.
Please note: The company is not accountable for denied entry due to a lack of essential papers and documents within the specified timeframe.
5. Insurance and Travel Risks
Travel insurance is crucial for trekkers, travelers, and all sorts of adventurers before departure for trips in the Himalayan country of Nepal. Given the inherent risks associated with high-altitude activities, including trekking, hiking, and expeditions, particularly in the remote Himalayas, it is advisable that you purchase comprehensive travel insurance that has coverage for high-altitude treks, medical expenses, accidents, emergency repatriation, trip cancellations, delays, and loss or theft of personal belongings.
Though Mountain Ascents will gather client information for emergencies and coordinate rescue services, make sure you carry proof of insurance, as we will not be assumed liable for losses or expenses not covered by the client’s travel insurance policy, and recommend you to buy from local agents for easier accountability.
6. Incomplete Trips
Trekkers will not be entitled to any refund if they decide to end the trip early, or are unable to commence the trek, tour, or expedition, or if the trip is cut short due to unforeseen circumstances (e.g., natural disasters, or health issues) and personal reasons for unused services, including accommodations, transportation, or guide fee.
You may reschedule an incomplete trip, but additional costs may apply as per the company’s policy; however, we will not be liable for any compensation or refunds, including for completion of the schedule earlier than the designated time.
7. Client Compliance and Authority
It ensures that trekkers adhere to the company’s safety, health, and logistical guidelines towards the local laws, social norms, values, regulations, and customs throughout the trip. The team leaders and guides hold ultimate authority during the trek/expedition. Hence clients are required to follow their instructions, especially concerning safety measures and legal requirements.
Mountain Ascents retains the right to modify or cancel any part of the trip if it is deemed necessary for safety, security, or unforeseen circumstances. In the meantime, however, the company does not bear responsibility for clients' unlawful acts where local authorities may be involved to resolve the matter. If there are any special needs or medical conditions, it is mandatory to inform the company before the trip.
8. Trip Amendment and Additional Costs
Mountain Ascents excels at crafting standard packages that meet the needs, areas of interest, and goals of our clients. In case of a need for a change in itinerary, we can modify it to address your specific requirements, which are subject to additional costs. Upon your request, we can make changes at some extra charges for accommodations, transportation, or services, that are not part of the original itinerary.
Similarly, Mountain Ascents reserves the right to adjust the schedule or itinerary beyond human control, such as in the case of adverse weather conditions or unforeseen events, with a mutual agreement where any additional cost due to such modifications is the responsibility of the client. Those wanting to modify the itinerary are requested to notify Mountain Ascents at least two weeks before the trip departure date.
9 . Flight Cancellations (International/ Domestic)
Himalayan weather is moody for sure! In any flight cancellations or delays due to bad weather, Mountain Ascents is not to be held liable. However, the company will assist with necessary adjustments and alternative arrangements, which are also subject to applicable charges.
10. Meals, Accommodation, and overnight stay
For trips with mountain ascents, meals, and accommodation are typically included as per the itinerary. We select the best of the best available hotels, tea houses, lodges, and guest houses, along with excellent cooks for higher altitude journeys with stays in base camps and higher.
In cities like Kathmandu and Pokhara, we provide accommodation in standard to luxury five-star hotels based on the package you choose, which are tea houses or lodges offering basic facilities during the trek that usually provide you with Nepali, Tibetan, or Continental menus for breakfast, lunch, and dinner.
Any additional meals, snacks, beverages, or overnight stays outside of the itinerary; flight cancellations; modifications in the itinerary; upgrades to accommodations; or any other issues due to clients' circumstances will incur additional charges and are the responsibility of clients unless and until caused by the company itself.
11. Gears and equipment
While it is the client's responsibility to bring or rent the essential trekking, climbing, and expedition gear and equipment, if provided by the company, you are obligated to return it upon completion of the journey. A detailed gear list is checked and provided before the trip; any incurred damage must be compensated at a rate determined by the company; hence it is good to purchase high-quality gear and equipment from your hometown.
12. Children
Though adventurers under the age of sixteen are prohibited from high-altitude peak summits as per the Nepal Government’s Mountaineering Rules, you may complete easy and moderate treks such as the Ghorepani Poon Hill Trek or Langtang Valley Trek, ideal for families with a legal guardian. At Mountain Ascents, we offer family-friendly treks with our experienced guides, ensuring a safe, enjoyable, and rewarding experience.
13. Publicity
Mountain Ascents may use photos, videos, or testimonials from clients for promotional purposes free of charge unless explicitly requested otherwise by the client. These materials are typically shared on social media, websites, brochures, or other marketing platforms for publicity and promotion. If you do not wish to have your images or experience publicized, please write before or during the trip; we ensure appropriate and respectful publicity while maintaining your privacy.
14. Extra Activities
If you are interested in other optional add-ons, such as activities like mountain flight, paragliding, zip-lining, boating, rafting, skinny, cultural tours, or additional sightseeing trips not included in the standard itinerary, clients are requested to pre-inform Mountain Ascents during the time of bookings or even during the trips. On prior notification, we will assist you in obtaining necessary permits and other essential procedures which if not may incur additional costs and hassling experience that we will not be liable for.
15. Agreement of Services
While Mountain Ascents strives to provide the highest level of service, trekking, and expeditions in the Himalayas often involve challenges due to remoteness with limited modern conveniences. Unexpected situations may arise where specific expectations cannot be met, where flexibility and understanding of clients are much appreciated, including services provided such as transportation, accommodation, meals, guides, and permits.
The agreement of services with Mountain Ascents is a formal understanding between the client and the company regarding all services provided as mentioned above during the trip. It also covers client responsibilities, payment terms, cancellation policy, and any conditions for changes or modifications to the itinerary. By confirming the booking with a deposit, these terms and conditions between clients and the company come into effect.
